POSITION SUMMARY

All staff positions at SCHC support patient-centered, team-based, and trauma-sensitive health care. The Scheduling Coordinator provides centralized scheduling support for Medical, Dental, and Behavioral Health services, serves as a clinic Receptionist, and maintains accurate patient registration and insurance information in the electronic health record. This position works closely with clinical, behavioral health, dental, finance, and patient services staff to support efficient clinic operations, high-quality patient care, and a positive patient experience.

ESSENTIAL FUNCTIONS
Scheduling and Resource Coordination
  • Coordinate and manage patient scheduling for Medical, Dental, and Behavioral Health services, ensuring schedules accurately reflect provider availability and approved templates.
  • Schedule Medical, Dental, and Behavioral Health appointment types, including routine office visits, procedures, same-day access, dentist and hygiene appointments, individual appointments, SUD assessments, group therapy, and school-based behavioral health services.
  • Provide scheduling support for clinic-wide events such as men's clinics, back-to-school well child checks, and similar initiatives.
  • Coordinate scheduling with visiting specialty providers and external specialty offices.
  • Respond to emergency schedule changes, including late arrivals, closures, and provider call-outs.
  • Perform routine schedule audits to ensure compliance with established workflows and policies.
Reception and Patient Access
  • Serve as front desk receptionist to ensure continuous clinic coverage.
  • Greet patients and visitors in person and by telephone in a professional, welcoming manner.
  • Manage high-volume incoming calls, route inquiries appropriately, and provide accurate information.
  • Support patient flow by communicating wait times and coordinating with clinical staff.
  • Accurately collect co-pay and/or co-insurance due at time of service.
  • Ensure timely and accurate submission of cash and check deposits.
Patient Registration and Data Integrity
  • Register new patients and update demographic, insurance, and billing information in the electronic health record.
  • Verify insurance coverage and eligibility as required.
  • Ensure accuracy and integrity of data entered into the patient management system.
  • Maintain strict confidentiality of patient and employee information in accordance with HIPAA and SCHC policies.
Administrative and Team Support
  • Run patient statistics and operational reports as assigned.
  • Collaborate with Finance, Medical, Dental, Behavioral Health, and Patient Services staff to support efficient clinic operations and quality patient care.
  • Assist with maintaining and updating desk procedure manuals, including scheduling processes, registration workflows, and forms.
  • Ensure departmental processes and procedures are documented and followed.
  • Participate in cross-training activities, including Medical Record and Referrals Coordination functions.
EDUCATION AND/OR EXPERIENCE
Required Qualifications
  • High school diploma or GED.
  • Three years of relevant work experience in a medical field, with at least one year of experience in a specialty area.
  • Education and/or equivalent experience may be considered.
Preferred Qualifications
  • Clinical administrative work experience, including knowledge of medical terminology.
GENERAL

To ensure the health and safety of our community, patients, and staff, SCHC requires proof of completed vaccination series or serologic test results for MMR (Measles, Mumps, and Rubella), Varicella (Chickenpox), Pertussis, and Hepatitis B, as well as TB screening, prior to employment.
