SUMMARY:

All staff positions at SCHC strive to provide patient-centered, team-based, and trauma-sensitive health care. Scheduling Staff perform the focused, essential duties and responsibilities outlined in this job description and are cross-trained to support Reception and Schedule Application functions as part of a team-based approach.

This position focuses on scheduling for all departmental resources within Sunshine Community Health Center. The Scheduling Staff member must coordinate with Medical, Dental, and Behavioral Health support staff to ensure schedules accurately reflect resource availability and that patients are scheduled within established templates and workflows. This role is also responsible for maintaining accurate patient registration information, including insurance entry and eligibility verification within the electronic health record.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Participates in scheduling for the Medical, Dental, and Behavioral Health departments, including:
    • Behavioral Health: Individual appointments, SUD assessments, group therapy, and Behavioral Health in Schools
    • Medical: Routine office visits, procedures, and same-day access
    • Dental: Dentist and hygiene appointments
  • Provides scheduling support for clinic events such as Men’s Clinics, Back-to-School Well Child Checks, and similar events.
  • Coordinates with specialty offices scheduled to see patients at SCHC.
  • Completes scheduling tasks related to SCHC emergency late arrivals or clinic closures.
  • Conducts schedule audits across all departments to ensure scheduling workflows are followed.
  • Updates patient registration and billing information as appropriate.
  • Ensures the integrity and accuracy of data produced by the patient management system.
  • Works collaboratively with Finance, Medical, Behavioral Health, and Dental staff to support quality patient care, effective communication, and efficient clinic flow.
  • Runs patient statistics reports as assigned.
  • Ensures departmental processes and procedures are properly documented and followed.
  • Assists in maintaining a desk procedure manual, including updated scheduling processes, registration workflows, and forms.
  • Maintains confidentiality of patient and employee information.
  • Performs general cross-training duties, including:
    • Administrative schedule building
  • Performs other duties as assigned.

EDUCATION AND/OR EXPERIENCE:

Required: High school diploma or GED and three years of relevant work experience in a medical setting, including at least one year in a specialty area. Clinical administrative experience and knowledge of medical terminology are preferred. An equivalent combination of education and experience may be considered.

GENERAL:

To ensure the health and safety of our community, patients, and staff, SCHC requires proof of completed vaccination series or serologic test results for MMR (Measles, Mumps, and Rubella), Varicella (Chickenpox), Pertussis, and Hepatitis B, as well as TB screening, prior to employment.
