This position supports SCHC’s Mission, Vision, Values and strategic process while providing administrative support to the behavioral health team. Position works closely with the Behavioral Health Director and assists in the smooth administrative functions of SCHC’s behavioral health services while functioning as a liaison between the behavioral health team, patient services, quality assurance, and all other SCHC departments. This includes multiple areas of focus; providing oversight and management of various clinic programs. This position incudes direct interaction with patients as well as administrative support to the Behavioral Heath team.
Provides general support to the Behavioral Health Director and Behavioral Health team
Once approved by Behavioral Health Director, coordinates and schedules staff leave requests and electronic timesheets. Approval of Behavioral Health Director’s staff timecards entered in the payroll system
Creates and maintains Behavioral Health providers’ schedules in Outlook and Centricity. Maintains working knowledge of Outlook and Centricity scheduling tools to provide scheduling support
Works with human resources department to ensure that behavioral health staff licensure and certifications are current and accurate including practice licensure
Provides support in the organization of Clinic events
Manages the scheduling and reserving of conference rooms or electronic meeting invitations for all Behavioral Health meetings or programs
Maintains BH procedures, including a schedule of review, makes necessary changes and updates and files per protocol of SCHC documentation
Assists in coordinating behavioral health staff webinars, conferences, and CME/training paperwork and workflows with Behavioral Health Director input
Coordinates behavioral health meeting agendas and takes and maintains and files meeting minutes appropriately
Schedule’s orientation/initial performance reviews and annual performance review dates. Facilitates updates to job descriptions and performance review tools for staff managed by Behavioral Health Director
Assists in the completion of peer reviews by selecting patient records and facilitating documentation of the peer review process
Generates reports as directed by the Quality Manager and shares this information with the Behavioral Health Director
Assists Behavioral Health Providers by supporting their clinical work in the areas of mental health and substance abuse
Makes appointments for patients according to the clinic’s scheduling policy; confirms appointments; follows up with “no shows” according to the clinic’s no-show policy
Triages patients with behavioral health needs by scheduling appointments or referring patient to a Behavioral Health Care Manager or Behavioral Health Provider as needed
Maintain confidentiality, both regarding patient and employee information.
Functions as a behavioral health staff representative regarding issues and concerns
Provides grant writing assistance, as needed
Maintains a positive working relationship with all staff in all departments
Other duties as assigned
EDUCATION AND/OR EXPERIENCE:
Graduation from high school or the equivalent. Two years of appropriate office work experience, including at least six months performing duties similar to most of those specified above. Preference is given for prior experience working within the Behavioral Health field. Experience collaborating with behavioral health and medical providers is preferred.
