POSITION DESCRIPTION:

Provides principal administrative support in an office to one individual usually at the senior management (department) level and to the subordinate staff of that individual.  Maintains a close and highly responsive relationship to the day-to-day activities of the manager and his staff.  Performs complex and confidential administrative functions to ensure assigned department operations flow smoothly.  Requires extensive knowledge of company organization, policies and procedures.  Works independently, receives a minimum of detailed supervision and guidance. Regularly uses discretion and independent judgment in matters of significance to the department and the company. 

Duties include but are not limited to:  Prepares various confidential and complex departmental reports as assigned by the Department Manager, utilizing various advanced software programs.  Audits employee electronic timesheets for correctness and through coordination and concurrence with the employee, makes changes as appropriate affecting employee pay. Maintains overtime disparity lists and receives, handles and files all incoming/outgoing department correspondence.  Prepares company and government job requests and expense reports.  Coordinates and schedules physical and eye examinations and prepares purchase requisitions.  Makes travel arrangements to ensure timely response to the mission requirement at minimal economic impact on the company and its government customer.  Processes travel advances. 


MINIMUM QUALIFICATION REQUIREMENTS:
Must have a community college certification in secretarial science and two years progressive experience in the specific field, or four years progressive experience in the specific field.  Must be proficient in Microsoft Office or similar operating system.  Must be able to self-direct and independently prioritize work assignments.  Must have high level of interpersonal skills to handle sensitive and confidential situations.  Position continually requires demonstrated poise, tact and diplomacy.  Must be able to interact and communicate with individuals at all levels of the organization.  Must have a valid driver’s license.  Applicant selected may be subject to a security investigation and must meet eligibility requirements for access to classified information.
