Summary:
Reporting to the ACE Program Manager, the Administrative Assistant is a full-time position that provides general office and program support, including various clerical activities and related tasks in maintaining student and administrative program records. Maintaining records requires that the assistant keep strict client and program confidentiality, knowledge of office practices and procedures, and clear communication between parents and students of the ACE Program opportunities, resources, and requirements.

Major Responsibilities:

Receptionist/Administrative-Assistant Duties:

  • Initiate and receive telephone calls and virtual meetings on various platforms; schedule and arrange multiple meetings between the ACE Program, student, parent, and other stakeholders as assigned.
  • Helps parents complete ACE documents (e.g., registration packets) to assist with exchanging correct information between schools and home. 
  • Promptly and warmly, answers a multi-line telephone system. Screens, routes/refers calls to the proper person or voicemail professionally.
  • Provides general information about available services
  • Maintain strict client and program confidentiality and excellent customer service for parents, providers, and other program stakeholders.
  • Coordinate and follow up all parent, student, and provider referrals.
  • Retrieve and keep student records for all students taking part in the ACE Program.
  • Helps with data entry, maintenance, and prompt submission of required student ACE documents, student data, and other required documentation for statistical reports
  • Helps in preparing and delivering outgoing and incoming mail following established procedures.
  • Ensure the reception suite is kept neat, organized, and up to date.
  • Operate and maintain a variety of office equipment including, but not limited to, multi-line phone systems, laser printers, copy machines, postage meters, and computers.
  • Help prepare and coordinate conferences, meetings, community events, and accommodations for students, caregivers, and providers.

Administrative Assistant Duties: 

  • Helps with students, caregivers, and providers' data entry
  • Creates and keeps approved direct service spreadsheets and lists. Update annual renewals of student information per program policy and procedures.
  • Assist with filing for the HR (Background Check Information).
  • Assist with significant group orientations to assemble packets, set up, and present information about the program.
  • Assists with clerical duties for the Administration team
  • Executes special assignments and tasks as assigned by the ACE Manager. 
  • Must demonstrate strong written and oral communication skills.
  • Works well on a team to coordinate coverage and tasks/project completion.  
  • Works cooperatively with others to achieve customer/employee satisfaction.
  • Assisted with schedules and organized company and departmental activities
  • Provides general administrative support as directed by the supervisor.
  • Demonstrates attention to detail  
  • Demonstrates sound work ethics and flexibility and shows dedication to the position.

Education Requirements:
  • High School graduate or GED required.
  • Up to three years of administrative assistant/clerical experience.
  • Valid driver's license preferred.

Hours of Work:

Hours of work are Monday to Friday, 8:30 a.m. to 5:00 p.m., 37.5 hours per week. Chugachmiut maintains a drug/alcohol and non-smoking work environment.
